Turn a meeting, lecture, or interview recording into notes with AI

Editor

To turn a recording into notes, ask before you record, attach a supported audio file in paid ChatGPT, and ask for a transcript first. Check names and numbers against the recording before you turn it into notes, tasks, or a follow-up email.

A prompt is the message you paste. A Director check is a short look before you use the result.

What do you need before you start?

You need the recording, permission to have it, and a way to play it again. The transcript is a draft of what was said. It is not the meeting.

  • An audio file you are allowed to use. OpenAI's upload help lists WAV, MP3/MPEG, OGG/OGA, audio-only WebM, PCM, FLAC, AAC, M4A, and audio-only MP4. A video file is not an audio upload.
  • A paid ChatGPT plan or a paid workspace. The October 6, 2026 release notes say audio upload is for paid subscriptions and workspaces. The upload help says it is not on the Free plan. Availability can still depend on the workspace, the region, the app version, and the model. If the attach control will not take the file, stop. Do not keep renaming it.
  • About the length. OpenAI says an audio file can be up to 512 MB. Longer recordings may be split into sections when Data Analysis is available. That processing is best-effort, and a very long file may time out. A short meeting is an easier check than a three-hour recording.
  • The original file still on your computer, so you can replay a line.
  • Your work or school rule, if the recording is not from your own life.

OpenAI says you attach the file, describe what you want, then review the reply. This page splits that into a transcript first and a use of it second. A transcript you have not read is how a wrong owner gets into an email.

If you already have words, you do not need this page. Paste them into Turn meeting notes into action items. If the meeting was in Teams and your work account shows Copilot there, use Copilot in Outlook and Teams instead of moving the file into a personal chat.

How do you ask before you record?

A useful transcript starts before the upload. Ask the people in the room. A job, a school, a clinic, or a local rule may say more than this page does. This page does not list those laws. If you do not know the rule, do not press record.

Do not record a class, a patient, a client, a child, or a coworker to get around a no. Do not upload a recording someone else made unless they said you could use it this way.

For a lecture, recording is for review after you attend. It is not a substitute for being there. If the teacher or the school says no recording, close this page and take notes by hand. Studying from notes you were allowed to make is Turn lecture notes into a study guide. The rules for what a student may turn in are Use AI for school the right way.

For a job interview, record only if the interviewer agreed. Your notes are for your own review. They are not a script to memorize. Practice out loud on Prep for a job interview.

Say it in the room or in the invite, in your own words. You want a recording so the notes are accurate. You will upload the audio only to an account the rule allows. If anyone says no, you will not record. The recording is not a decision. The notes still get checked.

If someone says no, take notes instead. The notes guide works without a file.

How do you attach the audio and ask for a transcript only?

Open a new chat in the paid account you are allowed to use. Attach the audio file. Do not ask for the email yet. The first reply should be words you can check.

OpenAI says speaker names may be unreliable. Tell the chat the names you know, and tell it to mark a speaker it cannot match.

Do not write notes, tasks, or an email yet.

The attached file is an audio recording I am allowed to use.
Type: [meeting, lecture, or interview].
Date: [date, or UNKNOWN].
People I know were there, and how I will recognize them: [names or roles, or UNKNOWN].
Language: [language].

Give me a transcript in order.
Start each turn with a speaker. Use a name only if I gave it to you or the audio says it. Otherwise write SPEAKER UNKNOWN.
Do not tidy the words into what you think they meant.
If a stretch is unclear, write UNCLEAR and keep going.
Do not add decisions, deadlines, or owners.
Then stop.

If the file is rejected, check the format against the list above. A screen recording saved as video will not go through as audio. Export the sound, or paste a transcript you already have.

A chat that contains meeting recordings cannot be locked. OpenAI's locked chats help lists that as a chat type with no Lock chat control. Do not upload the file and then expect a PIN to hide it. What else stays out of a chat is Keep your data private with AI.

How do you turn the checked lines into notes, tasks, or a follow-up?

Read the transcript once before this step. Fix a name you already know is wrong. Then ask for one output. Asking for notes, a project plan, and an email in the same message is how a guess in the transcript becomes a task. Break a big job into phases.

Work. Decisions, owners, and a follow-up you will send yourself.

Using only the transcript from the last reply, after my corrections below, draft a meeting recap.
My corrections: [lines you fixed, or "none yet"].

Give me:
1. Decisions that were said. Quote the short line each one came from.
2. Action items as a table: task, owner, deadline. If the transcript does not name the owner or the date, write NOT SAID.
3. Open questions.
4. A follow-up email under 150 words plus the table. Do not tell me you sent it.

Do not invent a decision to fill a gap.
If two speakers might be swapped, write SPEAKER CHECK on that row.
Then stop. I will replay the recording before I send anything.

School. A lecture you attended. The result is a study sheet, not the homework.

I attended this lecture. I am studying. Do not write an assignment, a lab, or an essay I could turn in.
Follow my teacher's rules. If I should not use AI on this class, say so and stop.

Using only the transcript, plus these corrections: [your fixes, or "none yet"].

Give me:
1. The main ideas, in the order they were taught.
2. Examples the lecturer actually gave. If you are unsure, write CHECK THE RECORDING.
3. Terms I should be able to define in my own words. Do not define them for me yet.
4. Three questions I should answer with the notes closed.

Do not add a textbook chapter that was not in the audio.
Do not tell me I can skip the next class.
Then stop.

After that, close the chat and answer the three questions out loud. If you cannot, the notes did not stick. Fill the gap from the lecture or the reading, in your words. The study-guide page is the next pass. A weekly plan of when you will do that is Make a study schedule.

Life. An interview you were allowed to record, or a conversation you want to remember. A quote you will repeat has to be in the audio.

This is an interview or a personal conversation I was allowed to record.
I will not publish a quote until I can hear it.

Using only the transcript, plus these corrections: [your fixes, or "none yet"].

Give me:
1. What the person agreed to, with the short line it came from.
2. What they did not agree to.
3. Questions I still need to ask.
4. Any number, date, or price marked CHECK, unless I can point to the line.

Do not write a recommendation letter, a review, or a social post.
Do not smooth a maybe into a yes.
Then stop.

How do you check names, numbers, and who said what?

OpenAI says to review important details against the original recording. Do that before the email, the study sheet, or the quote leaves your desk. Catch facts the AI made up is the same habit. A transcript can sound complete and still swap two people.

List every name, number, date, and owner in the recap you just wrote.
Mark each one FROM THE AUDIO, FROM MY CORRECTION, or NOT IN THE AUDIO.
Delete the NOT IN THE AUDIO lines from the recap before you show it again.

For any row marked SPEAKER CHECK, do not guess. Leave the owner blank.
I will replay those moments.
Do not write a new email.

Replay the moments that matter. A deadline, a price, a yes, and a name you will hold someone to are the ones to hear. If you cannot find the line, it does not go in the email. Approve the plan before it continues applies here too. You send the mail. The chat does not.

Deleting the chat does not always delete a file saved in Library. OpenAI's upload help says to open Library and delete the file there if a copy was saved. Do that when the recording should not stay in the account.

What does a worked example look like?

A team lead has a 25-minute MP3 from a meeting everyone agreed to record. The work account can upload audio. Two people spoke, Sam and Rae. The lead knows Sam owns the draft.

The transcript says "ship Friday" and labels that line as Rae. The lead remembers the sentence as "ship the draft Friday. The release is later." They do not "fix" it from memory alone. They replay that minute. The audio says the draft is Friday and the release was not given a day. The recap keeps "draft due Friday" and marks the release NOT SAID. The speaker label was swapped, so the owner becomes Sam only because the lead can hear Sam's voice, and they write that as their correction.

The follow-up email has three lines and a table with one blank deadline. It does not say the release is next Wednesday. That date was never in the file. The lead sends it after reading it. The chat never had the send button.

A lecture works the same way. A student who was in the room uses the ideas and the lecturer's examples to quiz themselves. A sentence the transcript added from a textbook they do not have gets deleted. They still go to the next class. The recording is a review. It is not attendance, and it is not the paper.

What mistakes should you avoid?

These are the misses that waste the result. Skip them before you send anything.

Common mistakes
  • Recording first and asking later.
  • Uploading a video file and treating a failed attach as a prompt problem.
  • Sending the follow-up from the first transcript, before anyone replays the deadline.
  • Trusting a speaker label when two voices were easy to mix up.
  • Using lecture notes as a reason to skip class, or pasting them into the assignment.
  • Putting the file in a personal chat because the work tool felt slow. If the company named a tool, use that tool.
  • Expecting Lock chat to hide a meeting recording. OpenAI says that chat cannot be locked.

What should you keep private?

The audio is the most sensitive version of the meeting. It has voices, side comments, and names you might have left out of a written note. Upload it only to an account you are allowed to use. A personal ChatGPT plan is the wrong place for a client call, a student's voice, a patient's voice, or anything marked confidential.

Privacy: what not to paste

OpenAI says audio upload on a workspace can depend on admin settings. If your work account does not show it, that is the policy. Do not route the file around it.

A locked chat would not solve this upload anyway. Meeting-recording chats cannot be locked, and a lock does not change training or how long a chat is kept. The do-not-paste list is still the list.

What should you check before you use it?

Answer these before you share the notes or study from a line you did not hear.

Director check: look before you use it
  • Did everyone who needed to agree know you were recording? If not, do not upload the file.
  • Is this the paid account you are allowed to use? Free ChatGPT cannot take the audio. A personal account is not a workaround for a work file.
  • Can you find each decision in the audio? If you cannot, it is not a decision yet.
  • Are the owners people you can hear, or people the label guessed? Blank is better than the wrong name.
  • Is a lecture note about to become the homework? Stop. Answer in your own words, and follow the teacher's rule.
  • Did you delete the Library copy if the file should not stay? Deleting the chat may leave the file.

What is one extra tip?

Once the notes are clean, the rest is an ordinary writing job. A status note for your boss is Write a weekly status update. A study block from one lecture is the study-guide page. More meeting guides are on Meetings. The ChatGPT plan limits live on ChatGPT.

One extra tip

The two OpenAI pages for this job are the October 6, 2026 release notes and Uploading files and audio to ChatGPT. The lock limit is in Using locked chats in ChatGPT.

What else do people ask?

Open a question. The short answer under it is the one to use.

Can ChatGPT transcribe a meeting, lecture, or interview?

OpenAI's October 6, 2026 release notes say paid ChatGPT plans can upload an audio file to transcribe it, summarize it, and ask questions about it, including a meeting, interview, or lecture. The Free plan cannot upload audio. Transcripts may contain errors.

What audio files can I upload?

OpenAI's upload help lists WAV, MP3/MPEG, OGG/OGA, audio-only WebM, PCM, FLAC, AAC, M4A, and audio-only MP4, up to 512 MB. A WebM or MP4 that the product treats as video is not accepted. Very long files are best-effort and may time out.

Do I have to check the transcript?

Yes. OpenAI says transcripts may contain errors, speaker identification may be unreliable, and quality can vary by language. Read the lines you will repeat, and replay the recording when a name, number, or owner matters.

Can I use a lecture recording instead of going to class?

No. Notes from a lecture are for studying what you attended. They are not a reason to skip class, and they are not the assignment. Follow your teacher's rules, including a rule that bans recording.

Is there a free way to upload the audio?

Not in ChatGPT. OpenAI says audio upload is not on the Free plan. This page does not name another free transcriber. If you already have a transcript from a tool you are allowed to use, paste that text into the meeting-notes guide and check it the same way.

Can I lock the chat after I upload a recording?

OpenAI's locked-chats help says a chat with meeting recordings cannot be locked. Locking is also not encryption. Leave passwords and other people's private details out of the file.
