Use ChatGPT in Word to draft, summarize, and revise for an audience

Director

To use ChatGPT in Word, install the add-in, save a copy, and ask the sidebar to draft, summarize, or revise the document you have open. It cannot see other files on your computer, and it can change lines you wanted to keep, so you read the edit before you share it.

Next step: do Step 1. Copy the box, fill in the blanks, and paste it into the chat.

A prompt is the message you paste. A Director check is a short look before you use the result.

Who is this for?

This page is for someone who already lives in Microsoft Word and wants ChatGPT in the sidebar. You might be drafting a memo from rough notes, shortening a report, changing the reader, or cleaning up terms that do not match. You still own the file.

It is not the Microsoft Copilot button. That path is Use Copilot in Word and PowerPoint, and it shows up only when your Microsoft 365 plan and your admin include it. If the ribbon says ChatGPT, stay on this page. If it says Copilot, use the other one. If it says neither, outline the document in a normal chat and paste the words yourself.

OpenAI's help article, ChatGPT for Word, is the source for the steps below. Menus move. If a click on this page is not on your screen, the help article wins.

What do you need before you start?

Gather the items below before you open the chat. You already have most of them.

  • Microsoft Word, and a ChatGPT account. OpenAI says the sidebar is on every plan, including Free.
  • The add-in installed, and ChatGPT visible on the ribbon. Word, Excel, and PowerPoint use the same add-in. This page is the Word job.
  • A document you are allowed to change, and a copy saved before a large edit.
  • The notes or source text, ready to paste. The sidebar cannot see other files on your computer.

A workspace admin can turn ChatGPT for Word off in the ChatGPT admin console. A Microsoft 365 admin must allow the add-in or it will not appear for employees. OpenAI's help page says that starting October 1, 2026, ChatGPT for Word will be enabled by default. An admin can still turn it off. If you do not see it, ask the admin. Do not keep rephrasing a prompt in a sidebar that is not there.

Being on the Free plan does not mean the sidebar is unlimited. OpenAI says Word uses token-based pricing at the API rates for the model you use. Your plan's token limits apply. On plans that include it, Word draws from the shared usage allowance for Codex and other premium features, so using Word can reduce what is left for those features. This site does not list a price. The help article links the current credit pages.

Sidebar chats are separate from your ChatGPT history. OpenAI says memory and skills do not carry over. A rule you saved in custom instructions is not in the sidebar until you paste it. Plugins are not supported in the add-in.

How do you install ChatGPT for Word and save a copy?

Do this once. Then do it again only if the ribbon entry disappears.

OpenAI's install steps are:

  1. Open the ChatGPT listing in Microsoft Marketplace and select Get it now.
  2. Follow the installation steps.
  3. Open Word, then open ChatGPT from the ribbon.
  4. Sign in with your ChatGPT account. If you use an organization's workspace, select that workspace.
  5. Open a document and type in the sidebar.

Before you ask for a rewrite of a file you care about, use Save a Copy, or save the file under a second name. OpenAI says ChatGPT can make mistakes and can change content you intended to keep. A copy is how you get the original back. Approve the plan before it continues is the same idea. You have not approved an edit you cannot undo.

If the document is confidential, use the work account your company named. Data use follows your ChatGPT plan. OpenAI says that in Business, Enterprise, and Edu workspaces, inputs and outputs are not used to train OpenAI models by default. That is not a reason to paste a file your policy says must stay somewhere else. The longer line is Keep your data private with AI.

How do you draft from notes you paste?

OpenAI says you can draft a memo, a proposal, or a report from notes and source text. Paste that text into the sidebar. The sidebar cannot open the other file on your desktop, even if it is in the same folder.

For a large change, ask for an outline or an explanation of the edits before it changes the document. That is OpenAI's own advice. Use it.

Do not change the document yet.

Turn these notes into an outline for a [memo, proposal, or short report].
Reader: [who].
Decision or ask: [one sentence].
Notes I wrote:
[paste]

Use only these notes.
If a sentence needs a fact I did not type, write MISSING and leave it out.
Then stop. I will say which headings to draft.

When the outline matches the notes, select nothing, or put the cursor where the new text should go, and send:

Draft the sections I list, from the outline you just wrote and from my notes only.
Sections: [names].
Length: [short, or about how many words].
Do not add a statistic, a quote, or a risk I did not type.
After the draft, list any sentence that needed a fact I did not give you.

Read that list. Delete any sentence that is not from your notes. A polished memo that invented a result is worse than the notes. Catch facts the AI made up.

School stays out of this draft. If the Word file is an assignment, do not ask the sidebar to write it. Use Use AI for school the right way. A teacher planning a class has a different page, Make a lesson plan with AI, and it does not belong in a student paper either.

How do you summarize the document you have open?

OpenAI's examples include an executive summary with the recommendation and the main risks. The sidebar can see the open document. You still check the summary against the headings.

Write an executive summary of this open document.
Include the recommendation and the main risks, only if they are in the file.
Under 150 words.
After the summary, quote the heading or sentence each risk came from.
If the file does not state a recommendation, write NOT IN THE DOCUMENT. Do not invent one.

Open the heading it quoted. If the words are not there, delete the bullet. A summary you did not spot-check is how a wrong date gets forwarded. The longer version of that habit, for a file you upload in a chat, is Summarize a long report.

How do you revise for a reader and fix inconsistent terms?

Select the paragraphs you want changed. OpenAI says to include anything that should stay the same. Do that in the same message. An instruction to "make it tighter" without a keep-list is how a date disappears.

Two jobs belong in this step. You can send them as two messages. Do not send them as one if the file is long.

Revise for a reader:

I selected the text I want revised. Change only that selection.
New reader: [for example, an executive who was not in the meeting].
Keep these facts word for word: [dates, names, amounts, defined terms].
Shorter is fine. New facts are not.
Do not change headings I did not select.
After the edit, list anything you changed that was in my keep list. If that list is not empty, put those words back.

The full habit, in any chat, is Rewrite for a different audience. The facts stay. The words can change.

Fix inconsistent terms:

Find inconsistent terminology in this draft.
I want one term for each idea. My preferred terms:
- [term I want] instead of [the variants]
- [or "you propose the groups, and I will pick"]

Do not change the document yet.
Give me a table: preferred term, variants you found, and how many times each variant appears if you can count them in this file.
If you are unsure two phrases are the same idea, write UNSURE. Do not merge them.
Then stop.

You pick the term. Then:

Apply only the rows I accept: [paste the rows].
Do not change a row I left off.
Do not fix tone while you do this.
Leave a term that appears inside a quote or a title as it was.

OpenAI also says complex formatting, tables, and charts may need manual fixes. After a terminology pass, look at the table you cared about. If a header moved or a number shifted, undo and do that table yourself.

Supported apps can bring in text from services such as Outlook, SharePoint, Google Workspace, and Dropbox. OpenAI says which apps you get depends on your plan, the workspace, and your permission on that source. If you do not see the source, paste the text. Do not assume the sidebar read your inbox.

What does a worked example look like?

You have half a page of notes. The reader is your director. The decision is to move a review to Thursday because the lab is booked Wednesday. You save a copy named with today's date. You ask for an outline and then a short memo from those notes only.

The draft adds a line that the move will "save the team time." That result was not in your notes. You delete it. You select the recommendation paragraph and ask for a shorter version for someone who will skim. You say Thursday and Wednesday must stay word for word. The reply drops Wednesday. The keep-list check catches it, and you put the day back before you send.

The file used both "design review" and "crit" for the same meeting. You ask for a table and accept one term. You do not let it rename a quoted email subject that used the old word. The subject line is what people will search for.

That is the job. The sidebar typed. You decided which sentences were yours.

What mistakes should you avoid?

These are the misses that waste the result. Skip them before you send anything.

Common mistakes
  • Asking it to rewrite the whole file when you meant one paragraph.
  • Forgetting to say which words must stay.
  • Trusting an executive summary without opening the heading it cited.
  • Pasting a second file's contents by describing the filename. The sidebar cannot see that file. Paste the text.
  • Expecting your ChatGPT memory, custom instructions, or plugins to show up in the ribbon. OpenAI says they do not.
  • Using the sidebar to produce schoolwork you turn in.
  • Skipping the copy because the edit "looked small." Small edits are how a number changes.

What should you keep private?

The open document is the prompt. Anything in that file goes to the ChatGPT account you signed into. A personal account is the wrong place for a client's draft, a student's record, or a file marked confidential. Use the workspace your admin turned on, or do the edit without the sidebar.

Privacy: what not to paste

Business, Enterprise, and Edu have the training default OpenAI states in the Word help article. Your admin can still read a work account. A training promise is not secrecy.

What should you check before you use it?

Answer each line below. If one is still a no, do not use the result yet.

Director check: look before you use it
  • Did you save a copy before a large edit? If the answer is no, save one before the next prompt.
  • Did you select the text, and did you say what must stay? A keep-list you did not type is a keep-list it does not have.
  • Does every new fact appear in your notes or in the open file? If not, delete the sentence.
  • Did a table or a chart survive? OpenAI says those may need a manual fix. Look.
  • Is this Copilot, or ChatGPT? Use the guide that matches the button you see.
  • Is this an assignment? Stop. The school rules win.

What is one extra tip?

When the sidebar is missing, the same prompts work in a normal ChatGPT chat if you paste the text. Start at ChatGPT. When the button in Word is Copilot, switch to the Copilot guide.

One extra tip

A first draft that could belong to anyone is Stop generic AI answers. Put one fact from your notes in the first line of the memo and you will see the difference.

What else do people ask?

Open a question. The short answer under it is the one to use.

Is ChatGPT for Word on the free plan?

OpenAI says ChatGPT for Word is available on all ChatGPT plans, including Free. Word still uses token-based pricing at the API rates for the model you use, and your plan's token limits apply. This site does not list a price.

How do I install ChatGPT in Word?

OpenAI says to install it from Microsoft Marketplace. Open the ChatGPT listing, select Get it now, finish the install, open Word, open ChatGPT from the ribbon, and sign in. A workspace admin can turn it off. A Microsoft 365 admin also has to allow the add-in.

Can the sidebar see my other documents?

No. OpenAI says it can work with the document you have open, and it cannot reference other files on your computer. Paste the notes or the source text into the prompt when you need them.

Will it keep my wording?

Not always. OpenAI says ChatGPT can change content you intended to keep, and that you should save a copy before a large edit. Select the text, and say what must stay the same.

Is this the same as Copilot in Word?

No. Copilot is Microsoft's button and depends on your Microsoft 365 plan. ChatGPT in Word is OpenAI's sidebar and uses your ChatGPT account. If you see Copilot and not ChatGPT, use the Copilot guide.

Can a student use it to write the paper?

No. The sidebar can help you revise a paragraph you wrote, if your teacher allows that. It should not produce the assignment you turn in. Follow your teacher's rules.
