Summarize a long report without missing the point
To summarize a long report with AI, ask for a short brief tied to the decision you need, with each fact traced back to the report. Check every number against the original before you send it.
Next step: do Step 1. Copy the box, fill in the blanks, and paste it into the chat.
A prompt is the message you paste. A Director check is a short look before you use the result.
What you'll need
- The report, as text you can paste or as a PDF
- The question your reader actually has, such as "Should we renew this vendor?"
- Permission to use an AI tool with this document
Step 1: Say what the brief is for
A summary with no reader becomes a book report. Name the person and the decision.
I'm writing a brief for [my manager / the project team]. They need to decide: [the decision].
They will not read the full report.
From the report below, give me:
1. The recommendation in 2 sentences
2. The 5 facts that matter most for this decision, each with the heading or page it came from
3. Any number the report states (money, dates, counts), copied exactly, with where you found it
4. Risks or open questions the report itself names
5. A "not in the report" list: things a reader might assume that the text never says
Do not add outside knowledge. If a number isn't in the text, write "not stated."
Report:
[paste, or say the file is attached]
Step 2: Check three claims against the original
Pick the recommendation and two numbers. Find them in the report. If the wording drifted, fix the brief yourself. Do not ask the AI to "make it sound more sure."
Step 3: Cut it to what you'll send
Rewrite the brief as an email under 180 words plus a 5-row table: fact | number or detail | where in the report.
Keep my corrections: [paste what you fixed].
Do not add new claims.
Director check: look before you use it
- Can you point to the sentence for every number? If not, delete the number.
- Did the brief recommend something the report only guessed? Label it as the report's guess, or take it out.
- Would your manager learn something they could not get from the title? If the brief is all adjectives, start again from the facts.
- Is anything in here that your company would not want in this AI tool? Take it out before you paste, not after.
One extra tip
If the report is a PDF, upload the file in the free Gemini app instead of pasting. Gemini can read the file. You still check every number against the original pages.
Meeting notes are a different pile. Use Turn meeting notes into action items when the job is owners and dates, not a brief. More work guides are on Work.
Common questions
Can AI summarize a long work report?
Yes. Paste the report, or upload the PDF in a free assistant that accepts files, and ask for a short brief plus the exact lines each claim came from. Then check those lines yourself.
Is it safe to paste a work report into ChatGPT?
Only if your employer allows that tool. If they don't, use the approved one, such as Microsoft Copilot. Remove customer names, account numbers, and unreleased figures first.
What if the summary sounds confident but I can't find the fact?
Cut it. A summary that adds a fact the report never stated is worse than a shorter one.
