Catch up on your email and calendar with AI

Director

To catch up on your email and calendar with AI, connect only the account you mean to use, then ask for a short brief of what needs you, drafts you will send yourself, and free time on the calendar. Do not let it send, delete, or accept an invite until you have read the exact action. If the connect button is missing, paste the few messages you are allowed to share instead.

Next step: do Step 1. Copy the box, fill in the blanks, and paste it into the chat.

A prompt is the message you paste. A Director check is a short look before you use the result.

Who is this for?

This page is for the morning you open a mailbox and a calendar and cannot see what matters. You want a short catch-up, a few reply drafts, and the gaps where a meeting could go. You will send the mail yourself. You will accept or decline the invite yourself.

It is not a license to hand the inbox to a bot. Sending, deleting, and accepting an invite are actions that are hard to undo. The prompts below forbid them until you have read the exact action on the screen.

Four products can see mail or a calendar, and they do not do it the same way. If a button named here is missing, it is not on your account. Use the paste version at the end of Step 2.

ChatGPT, iCloud. The release notes for October 27, 2026 say iCloud users can connect Mail and Calendar "to find emails, catch up on your inbox, check your schedule, and update calendar events." OpenAI says this is available to all ChatGPT plans on the web, the desktop app, and iOS. Connecting and managing app accounts says the two plugins are separate, both include read-only contact lookup, and standalone Contacts and Reminders plugins are not part of this launch. Installing one does not authorize the other.

The same page says iCloud uses an Apple app-specific password in the connection form. For Mail, enter an address ending in @icloud.com, @me.com, or @mac.com. For Calendar, enter your primary Apple Account email, which may differ. Do not type your regular Apple password, and do not paste either password into the conversation. Apple's app-specific password page says you create one at account.apple.com, under Sign-In and Security, then App-Specific Passwords, and that your Apple Account needs two-factor authentication. Disconnecting the plugin in ChatGPT does not revoke that password at Apple. Revoke it on Apple's page. If you change your main Apple password, Apple says every app-specific password is revoked.

ChatGPT's troubleshooting page tells you to inspect the message or the event in the Apple account if an iCloud send or a calendar edit has an unclear result, before you retry. A send that looked like it failed may still have gone out. That is why the prompts never ask it to send.

ChatGPT, Gmail, Google Calendar, and Outlook. Those connectors are older than the iCloud plugins. The release notes for August 28, 2026 say you can connect more than one account for Gmail, Google Calendar, and Google Contacts on supported Plus, Pro, Business, and Enterprise plans, on web, desktop, iOS, and Android. Outlook Email and Calendar says those apps can read mail and calendar items, and that some write actions, including send, depend on Microsoft permissions and, on a work account, on an admin. If you do not see the app, do not assume a plan name. The button you can see is the one you have.

Claude. The Help Center article Use Google Workspace connectors says Claude can search and read Gmail, draft, and send, reply, or forward, and that it asks for your approval before each of those by default. The same article says Google Calendar can create, update, and delete events and respond to invitations. Claude's connector docs disagree. The Gmail connector page says Claude reads and searches only and cannot create, send, or modify messages. The Google Calendar connector page says Claude reads the calendar only and cannot create, change, or delete events or send invitations. Those docs also say the connectors are on Pro, Max, Team, and Enterprise, while the Help Center says the Google Workspace connectors are available for all users on Claude and Claude Desktop, with an owner enable step on Team and Enterprise. Believe the screen in front of you. If it offers Send or Accept, the Help Center is the warning: those actions exist, and you approve each one. If the screen only searches, the docs match what you see.

Gemini. Google's Workspace app help says a connected Workspace app can summarize Gmail and manage Google Calendar events. Calendar help says Gemini can create, find, and edit events, and that Keep Activity has to be on or the connection will not work. Google also says Gemini can give an outdated answer, such as an older email when a newer one exists, and that you should open the sources under the reply. Connected Apps is where you turn an app off.

Copilot inside Outlook is a different door. It is not a plugin you add in a personal chat. Microsoft's summarize help says you open the thread and use Summary by Copilot or Summarize. Chat with Copilot in Outlook says a work or school account can ask about the inbox and calendar, and the examples include scheduling a meeting. If you do not see the Copilot button, your admin has not turned it on. The free chat at copilot.microsoft.com does not open your mailbox. That limit is already on Use Copilot in Outlook and Teams.

A normal day you type by hand, with no connection, is Plan your day with AI. A single reply you paste is Reply to work emails. The standing version of this catch-up, reused every morning, is Ask for a morning brief.

What do you need before you start?

Gather the items below before you open the chat. You already have most of them.

  • The account that already holds the mail. Personal and work stay separate
  • Ten minutes in that product's settings, and the help page open in another tab
  • For iCloud in ChatGPT, an app-specific password you just created. You will type it in the connection form and then forget it. You will not paste it into a message
  • One line for what "needs me today" means: a person, a deadline, or a topic. If you do not name it, the brief will guess

Leave out passwords, one-time codes, medical details, full account numbers, and a file marked confidential. A connected app can already see the mailbox. That is not a reason to paste a second copy of a secret into the chat. The list is Keep your data private with AI.

How do you connect only the account you mean?

Open the product's connector settings. Read the permission screen before you approve it. A screen that says it can send mail is a screen that can send mail.

In ChatGPT, Connecting and managing app accounts says to open Settings, then Plugins, select the app, and choose Install or Connect. Very old phone apps may say Apps instead of Plugins. Sign in to the account that already has the mail. If Google says all requested permissions are required, the same page says to use Select all, or to choose Select fewer apps and then approve every permission for the apps you kept. Connecting a personal Google account does not open a work mailbox.

Then set the brake. Managing app permissions names four settings, when your account shows them:

  • Always ask. ChatGPT asks before it reads or changes anything.
  • Allow read actions. It can read without asking, and it asks before a change.
  • Allow low-risk actions. It may do low-risk actions on its own. Higher-risk actions may still ask, or be denied.
  • Allow all actions. It can do supported actions without another prompt. OpenAI says this carries elevated risk. The standard account-wide selector does not offer it.

OpenAI's examples of actions that can need extra review include sending an email, message, comment, or invitation, and creating, editing, or deleting a file or record. Choose Always ask, or Allow read actions. If you do not see those words, pick the strictest control on the screen.

For iCloud, connect Mail and Calendar as two plugins if you want both. Use the app-specific password in the form. If Mail rejects the address, you used the wrong one. Calendar wants the primary Apple Account email.

In Claude, open Customize, then Connectors, and connect Gmail or Google Calendar if they are listed. Get started with connectors says you can set each tool to Always allow, Needs approval, or Blocked. Leave send, delete, and invitation replies on Needs approval or Blocked. A toggle under the message box turns a connector off for that chat only. Claude stays signed in until you disconnect.

In Gemini, go to gemini.google.com, ask it to use Gmail or Google Calendar, and follow the connect prompt. Google says Keep Activity must be on. That is the opposite of the training-off switch on the privacy guide. If you need Keep Activity off, do not connect Workspace. Paste the one thread you are allowed to share instead. You can type @ and pick the service so the prompt names it.

In Outlook, you do not connect a plugin for this step. Open the mailbox your work or school account already uses. If Copilot is absent, stop. Use Reply to work emails with a message you paste, and only if your company allows that chat.

How do you ask for a catch-up, not a send?

The first reply is a list you can check against the mailbox. It is not a cleanup. Tell it what to flag and what to ignore, or it will treat every newsletter as urgent.

Work. Use this only on an account your company allows.

Do not send, delete, move, archive, or forward any email.
Do not create, edit, accept, decline, or delete a calendar event.
If a tool asks to do any of those, stop and show me the action. I will decide.

Catch me up on [work mailbox] for [today's date].
Flag only: mail from [people or teams], anything with a deadline in the next [number] days, and threads where someone is waiting on me.
Ignore: newsletters, promotions, and mail I did not name.
Calendar: list events already on [today], with the time and the title. Then list gaps of at least [minutes] between [start time] and [end time].

For each flagged email: who sent it, the subject, one sentence on what they need, and the deadline if the message states one.
If you cannot find it in the mailbox or on the calendar, write NOT IN THE INBOX.
Do not invent a meeting to fill a gap.
Then stop.

School. This is a catch-up, not the homework.

This is for learning. Do not write anything I will turn in. Follow my teacher's rules.
Do not send email. Do not accept or create a calendar event.

I am a student. Look at class mail and the calendar I am allowed to connect, for [today's date].
Flag: mail from [teacher or class], a due date in the next [number] days, and a class meeting today.
Ignore: clubs and stores, unless I named them.
Show free blocks of at least [minutes] where I could study. Do not put the assignment in those blocks as finished work.

For each class email, say what the teacher asked, in one sentence, and quote the due date if it is in the message.
If it is not in the mail, write NOT IN THE INBOX.
Then give me one question I should answer in my own words before I reply to the teacher.
Do not draft the assignment. Then stop.

Life. Household mail and a personal calendar. No medical details and no account numbers in the prompt.

Do not send, delete, or forward email.
Do not accept, decline, or create a calendar event.

Catch me up on [personal mailbox] for [today's date].
Flag: appointments, deliveries I am expecting, and mail from [people].
Ignore: promotions and newsletters.
List today's events with times, then gaps of at least [minutes] between [start] and [end].
If a fact is not in the inbox or on the calendar, write NOT IN THE INBOX.
Do not invent a plan for the gap. Then stop.

If nothing is connected, paste is the whole method. Delete other people's addresses and attachments first.

Do not send anything. You cannot see my inbox. Use only what I paste.

Today is [date]. Here are the messages I need to catch up on:
[paste one thread, or a few subjects and the ask in each]

Here is my day, as I typed it:
[time] [event]

Tell me which message needs a reply, which can wait, and where a [minutes]-minute block could fit.
If I did not paste it, write NOT IN WHAT I PASTED. Then stop.

Open one message the brief called urgent. If the sentence does not match that message, the brief is wrong. Fix the line before you draft. Google tells you to do that check because Gemini can cite an older email. The same check belongs on every product. Catch facts the AI made up is the habit.

How do you draft the reply and name the free time?

A draft is text in the chat. Sending is a different action. Keep them apart. The reply guide is the longer version of voice and tone: Reply to work emails. A tense no belongs on Write a difficult work email.

Do not send this. Do not put it in my drafts folder unless I ask, and even then stop before you save it.

Write a reply I will copy into my own mail.
To: [name]
What I need to say: [your point]
Date I can promise: [a date you chose, or "no date"]
Under 120 words. No filler greeting.
Do not add a promise, a price, or a person I did not type.
If the original asked for something I did not answer, ask me. Do not guess.

Then list free blocks from the calendar you already showed me.
Do not create an event in any of them.
I will choose the block. Then stop.

Copy the draft into the mailbox. Check the To line yourself. The chat can mix up a thread. Read the names.

For a school reply, you write the sentence you will actually send. The chat can show you a stiff version and a plain version. You pick. You do not submit either one as an assignment.

If Copilot is drafting inside Outlook, Microsoft's chat examples include scheduling and flagging. Read the draft in the message window. Do not select send, flag, delete, or schedule until the words and the time are ones you chose. The steps for that button are on Use Copilot in Outlook and Teams.

A gap on the calendar is not a booking. Type the event in the calendar app yourself, or stop at the approval card and read the title, the guests, and the time. Approve the plan before it continues is that stop. Hand a task to an AI agent is the same rule when the product can keep going after one message.

How do you disconnect, and revoke what the app stored?

When the catch-up is done, or when you connected the wrong account, disconnect. Changing a permission is not a disconnect. OpenAI says so on the permissions page.

ChatGPT. Connecting and managing app accounts says:

  1. Open Settings, then Plugins.
  2. Select the plugin or app.
  3. If you see Connected accounts, open that account's more options menu and choose Disconnect. Otherwise use Connection, or the plugin's more options menu.
  4. Read the warning. Uninstalling a plugin can disconnect every account on it.

OpenAI says disconnecting stops future access through that account. Other accounts can stay connected. It does not delete existing chats, saved files, or Memory. Review those yourself. For iCloud, also revoke the app-specific password at account.apple.com. OpenAI says disconnecting in ChatGPT does not do that. Apple says a revoked password signs the app out.

Google app data controls say OpenAI does not train its general models on data pulled straight from a connected Google app, or use that data to target ads, except when you send feedback such as thumbs up or thumbs down, when you paste or upload that data yourself, or when it is included in ChatGPT's reply. The same page says that if Improve the model for everyone is off, that app data is not used to improve the models even when it shows up in a conversation. It also lists a Gmail scope for modifying mail and a Calendar scope for events, so the connection is not read-only. A connection is not a reason to leave a secret in the thread. Disconnecting does not delete old chats or Memory.

Claude. Open Customize, then Connectors, open the connector, and select Disconnect. Get started with connectors says Disconnect signs Claude out, and the connector stays in your list so you can connect again. To take it off the account, use the three-dot menu and Remove. The Help Center also says you can open myaccount.google.com/connections, find Claude, and choose Delete all connections. The Help Center says connector data is stored with the chat, and that you delete that copy by deleting the chat. It also says Anthropic does not train on the connector data itself, and that if a consumer account has model improvement turned on, text you paste from Gmail or a reply that quotes it may still be used. The training switch is on Keep your data private with AI.

Gemini. On a computer, open gemini.google.com, then Settings and help, then Connected Apps. If you do not see Connected Apps, Google says to open Personal Intelligence, then Connected Apps. Turn the app off. Google's Workspace help says you disconnect there. Turning Keep Activity off later also blocks the connection, because Google requires Keep Activity for Workspace. Read that tradeoff before you connect.

Copilot in Outlook has no plugin to disconnect on this page. Stop using the button. Your admin controls whether it appears. A ChatGPT connection to Outlook is disconnected in ChatGPT, not in Outlook.

What mistakes should you avoid?

These are the misses that waste the result. Skip them before you send anything.

Common mistakes
  • Pasting your Apple password, or an app-specific password, into the conversation. The password belongs in the connection form only.
  • Choosing Allow all actions so the catch-up is faster. OpenAI calls that elevated risk. A fast send is still a send.
  • Connecting a work mailbox to a personal chat because the work button is missing.
  • Treating a summary as the thread. Open one cited message before you reply.
  • Asking it to "clear the inbox" or "accept anything from my boss." Delete and accept are not catch-up.
  • Assuming a Claude screen that only searches can also send, or assuming a screen with a Send card is read-only. The Help Center and the connector docs disagree. The card in front of you is the fact.
  • Leaving iCloud connected and also leaving the app-specific password active at Apple. Disconnect in both places.

What should you keep private?

A connected inbox is more sensitive than a paragraph you paste, because the app can look up messages you did not mean to discuss. Connect the account that matches the task. Review the permission screen. When you are done, disconnect, and revoke the Apple password if you used one.

Privacy: what not to paste

Do not put a password, a medical note, or a full account number in the prompt, in custom instructions, or in a scheduled task. OpenAI's scheduled tasks help says not to put health information, financial details, passwords, or account numbers in a task title or in task instructions. The same ban belongs in this chat.

Work and school mail can be logged by the organization. Follow that rule. More settings, including locked chats, are on Keep your data private with AI. The topic page is Privacy. Email guides are on Email.

What should you check before you use it?

Answer each line below. If one is still a no, do not use the result yet.

Director check: look before you use it
  • Did you connect the account you meant? A personal Gmail connection does not open work mail. A work connection does not belong in a personal experiment.
  • Can it send, delete, or accept without a fresh yes? If the setting is Allow all actions, change it before you ask for the brief.
  • Does each urgent line match a message you opened? If it does not, drop the line.
  • Is the draft still in the chat? Copy it over yourself. Do not tell the product to send it.
  • Is every calendar change one you can see? Title, time, and guests. If any of those are wrong, deny the card.
  • Did you disconnect, and revoke the Apple password if you made one? ChatGPT's disconnect does not do both.
  • Is this for a class? The brief can show a due date. It cannot write the work. Follow your teacher's rules.

What is one extra tip?

Save the flag list and run it again tomorrow, instead of retyping "what's going on?" That lesson is Ask for a morning brief. In ChatGPT, a scheduled task can repeat a brief. OpenAI's help says an action that sends or changes outside data may pause until you approve it. In Gemini, a scheduled action can prepare a daily summary, and Keep Activity has to stay on. Claude Duet, if your account has the research preview, is the version that messages you first. The director page has the limits.

One extra tip

A single reply you want in your own voice stays on Reply to work emails. A day you type by hand stays on Plan your day with AI. The Work hub and the Life hub list the rest.

What else do people ask?

Open a question. The short answer under it is the one to use.

Can ChatGPT read iCloud Mail and iCloud Calendar?

OpenAI's release notes for October 27, 2026 say iCloud users can connect Mail and Calendar to find emails, catch up on the inbox, check the schedule, and update calendar events. It is on all ChatGPT plans on the web, the desktop app, and iOS. The two plugins are separate. Mail uses an iCloud address ending in @icloud.com, @me.com, or @mac.com. Calendar uses your primary Apple Account email, which can be different. You sign in with an Apple app-specific password in the connection form, not your regular Apple password, and you do not paste that password into the chat.

Can it send, delete, or accept an invite on its own?

Treat those as stops. OpenAI lists sending an email or invitation, and creating, editing, or deleting a record, as actions that can need extra review. Set the ChatGPT connection to Always ask, or to Allow read actions so a change still asks. Do not choose Allow all actions. Claude's Help Center says Gmail send, reply, and forward ask for your approval by default, while Claude's connector docs still describe Gmail and Google Calendar as read-only. If your screen offers a send or an RSVP, read the card and decline it unless the action is exactly what you wanted.

What if I do not see a connect button?

That app is not on this account. Do not hunt for a hidden menu and do not paste a password to force it. Paste the one thread you are allowed to share, or use the button inside Outlook if your work account shows Copilot there. The free chat at copilot.microsoft.com does not open your inbox.

How do I disconnect it?

In ChatGPT, open Settings, then Plugins (older apps may say Apps), open the plugin, and choose Disconnect on that account. Disconnecting stops future access. It does not delete old chats or memory, and it does not revoke an Apple app-specific password. Revoke that password at account.apple.com. In Claude, open Customize, then Connectors, and choose Disconnect. In Gemini, open Settings and help, then Connected Apps, and turn the app off.

Should I connect a work or school inbox to a personal chat?

Only if that organization says the connection is allowed. A work Gmail, a school Google account, and a company Outlook mailbox can be visible to an admin, and a personal ChatGPT or Claude account is the wrong workaround when the company named a different tool. If you are unsure, do not connect it. Paste nothing that is marked confidential.

Can a student use this?

You can catch up on class mail you are allowed to open, find a study block, and draft a short question to a teacher in your own words. The chat does not write an assignment, a lab, or an essay. Follow your teacher's rules, and do not connect a school account if the school forbids third-party apps.
